WedCam Rental Agreement & Terms of Service

This Rental Agreement (“Agreement”) sets out the terms and conditions between WedCam (“we”, “us”, “our”) and the client (“you”, “your”) for the hire and use of WedCam equipment and services.

By booking with WedCam, you agree to the following terms.

1. Booking & Payment

  • Full payment is required at the time of booking to secure your event date.

  • Bookings are confirmed once payment has been received.

  • All prices are listed in AUD and include standard shipping and return postage.

2. Equipment Hire

Your WedCam kit may include:

  • Video camcorder

  • Memory card

  • Battery and charger

  • Accessories (as provided)

All equipment remains the property of WedCam at all times.

You agree to use the equipment responsibly and only for your booked event.

3. Delivery & Returns

  • We will post your WedCam kit to your nominated address prior to your event.

  • Return shipping is included in your hire fee. A prepaid return label will be provided.

  • You must return the equipment within 72 hours after your wedding.

  • Late returns may result in additional fees.

You are responsible for ensuring the kit is safely packaged and lodged for return.

4. Security & Damage Policy

By booking, you agree to provide a valid credit or debit card for security purposes.

We will not charge your card unless:

  • Equipment is damaged

  • Equipment is lost or stolen

  • Equipment is returned in unsatisfactory condition

  • Equipment is not returned

In these circumstances, you authorise WedCam to charge up to $1,000 AUD per camcorder, depending on the extent of the issue.

This may include repair, replacement, cleaning, administration, or recovery costs.

5. Care & Responsibility

You agree to:

  • Handle equipment with reasonable care

  • Keep equipment safe from water, sand, heat, and impact

  • Not attempt to repair, modify, or open any equipment

  • Not allow misuse or unauthorised use

You are responsible for the equipment from the time it is delivered until it is returned.

6. Footage, Editing & Delivery

Depending on your selected package, you may receive:

  • Professionally edited video/s

  • Raw footage files

  • Or both

Editing

  • Editing is included only where specified in your package.

  • Edited videos are delivered within a reasonable timeframe after equipment is returned. No fixed delivery timeline is guaranteed.

Footage

  • While we take reasonable care in handling files, we cannot guarantee against data loss, corruption, or technical failure.

  • WedCam is not liable for unusable, incomplete, or missing footage caused by user error, device malfunction, or unforeseen technical issues.

7. Use of Footage & Marketing

By booking with WedCam, you grant us permission to use short clips, screenshots, or still frames from your footage for:

  • Website

  • Social media

  • Advertising

  • Promotional materials

If you do not wish for your footage to be used, you must notify us in writing before or shortly after your event.

Client Sharing

If you share WedCam footage on social media, you agree to tag or credit WedCam where reasonably possible.

8. Cancellations & Rescheduling

Cancellations

  • Cancellations made well in advance of the event up to 14 days may be eligible for a partial or full refund, at our discretion.

  • Cancellations within 14 days before the event date are not refundable.

Rescheduling

  • One free date change is permitted, subject to availability and reasonable notice.

  • Additional changes may incur a fee.

9. Limitation of Liability

WedCam is not responsible for:

  • Missed moments

  • Improper use of equipment

  • User error

  • Technical malfunctions

  • Environmental damage

  • Loss of footage due to handling

Our total liability is limited to the amount paid for your booking.

We are not liable for indirect, incidental, or consequential loss.

10. Privacy & Data

We respect your privacy.

Your personal information is used only for:

  • Booking management

  • Shipping and returns

  • Communication

  • Service delivery

We do not sell or distribute your personal data to third parties outside essential service providers.

11. Force Majeure

WedCam is not liable for failure to perform services due to events beyond reasonable control, including but not limited to natural disasters, postal delays, strikes, illness, or government restrictions.

12. Agreement & Updates

  • This Agreement constitutes the entire agreement between you and WedCam.

  • We may update these terms from time to time. The version in effect at the time of booking applies.

  • Continued use of our services indicates acceptance of these terms.
